Introduce Employee Self Service Module, Oracle/PeopleSoft HRM System
Dear Colleagues,
With the further development of Employee Self Service (ESS)/HRM System, we are writing to update the process of system implementation and introduce Performance Management and Payroll & Absence in brief description as follows:
1. PDR and Academic Promotion

(1) PDR
Based on the questions frequently asked by the staff, we update Q&A section for your reference. It is found that most of questions are related to operation process. We hereby provide the operation process again for you to follow the appropriate steps.
(2) Academic Promotion
Some staff are confused of the requirement of different sections on promotion form. Here is the interpretation from Prof. Andre Brown:
My talk was meant to emphasize the importance of stating a case clearly focusing particularly on areas where the person has exceeded normal expectations, and as least met the requirements and description of the role above. The Promotion Online system is meant to allow applicant to do this. The three fundamental parts of the scoring related to: teaching performance, research and/or professional development performance, administration/contribution to the university/management performance.
The "Teaching Evaluation" box simply allows someone to present their case in terms of evaluations of their teaching performance.
Applicant should put in Module Evaluation Questionnaire scores (with comparison against departmental or centre averages etc), Peer Review of Teaching comments, prizes or other types of recognition of excellent, and so on. This will allow the panel to evaluate the Teaching Performance against normal expectations. In the same way that the CV allows the panel to see more details about the other two areas. And it does not have to be limited to this year, it can be statement how for instance "for the past three years I have consistently scored …"
The box for Teaching Evaluation allows the candidate to add any additional detail. In the personal statement it may say something along the line of "for the past three years my peer review of teaching has been rated very highly with words like Outstanding Tutor". The box on Teaching Evaluation might then include the details where a paragraph of text written by a peer reviewer is copies and certain sections highlighted. Additionally more detail on Module Evaluation questionnaire scores can be included to back up the headline statements in Personal Statement.
Regarding document uploads, there is no limit of document format and quantity. Please upload all necessary supporting documents through "Upload Attachment and CV" section. Then the system is supposed to show all uploads.

2. Payroll and Absence
(1) Attandance
The Attendance as one of function of ESS goes live on 22nd May 2017, of which objective is to enable employee to submit absence request, check monthly schedule and review absence request history while manager to access information and instigate actions, reviewing and approving request of leaves raised by employees as well as managing staff attendance.
Please be kindly noted that, after Attendance online, Leave Request shall be raised through the system in replacement of previous forms in paper and go to approval process electronically. HR will not accept any previous paper forms submitted later than 16th May 2017.
In the meantime, HR has prepared related operating procedures for staff as employee or manager to understand operational procedures. Here is the link for your reference.
(2) Personal Bank Account
As the key node for new staff to activate Expense Control System, Personal Bank Account information is required to be maintained into HRM system by new staff after signing formal employment contract with the university. The information of Personal Bank Account will be synchronized to Expense Control System following day after it is maintained, and then staff can access different modules under Expense Control System. For the existing staff, if your bank account information is changed, please timely update it in the HRM System and send the notice of change to staffonestop@xjtlu.edu.cn for record track. (3) Allowance Request
The module of allowance request is available to staff from 1st to 20th in each month and closed for data processing from 21st to the end of month. So for staff who are entitled to allowance subject to employment contract, please raise your request by 20th each month to avoid unnecessary delay. At the same time, allowance claim statement generated by the system after clicking "Print" button as well as valid supporting documents shall be handed over to One-stop Staff Services Centre by the cut-off day. Staff meeting any questions shall seek for help from One-stop Staff Services Centre as early as possible to minimize irrevocably mistaken operation. More information, please click here.

Conference Highlights Reshaping Undergraduate Education
The Annual Conference for Higher Education Innovation 2017 invited university presidents, managers, academic staff, and educational experts in China and abroad to share their opinions on how to build first-class undergraduate education.
The four-day conference, which was focused on the topic "Reshaping undergraduate education: building a student-centered educational system", included a series of activities such as the XJTLU Education Forum, the Wisdom-Lake Internationalisation Summit of Higher Education 2017, teaching workshops, and training.
