Boarding Meeting and Graduation Ceremony
The 27th Meeting of XJTLU Board of Directors was held on 25th July on South Campus. The meeting was chaired by Professor Janet Beet, Deputy Chair of the Board of Directors and Vice-Chancellor of the University of Liverpool.
After the meeting, some board member attend the graduation ceremony, held from 26th -28th July. More than 2,000 undergraduate, 196 postgraduate and five doctoral students received their degree certificates. During the event, Professor Xi, in his speech to the graduates, spoke of uncertainties graduates will face.
Welcome New Staff
Dear New Staff,
We are very delighted to welcome your joining in XJTLU.
In order to help you to well adapt to the new environment and better understand XJTLU, HR together with CAA will conduct the induction at the end of August. The induction will consist of academic session and admin session with regard to various information prepared for you. The induction invitation will be sent to you later by HR or CAA.

New unit Established in XJTLU: Named THINK TANK
With the support of governments, XJTLU are planning to establish Wisdom Lake Insight. Now there are three full-time job vacancies available for recruitment. Introduction of PSHRM System
Employee Self Service Module, Oracle/People HRM System is designed to assist HR in processing daily work and provide staff with a platform for self service. For the better understanding of available functions released by the system, we would like to hereby introduce the module - ESS (Employee Self Service) closely linked to staff as follows. 1) Time Report
Time report is used for personal attendance management where staff can raise absence request as well as view monthly schedule and absence request history.

2) Personal Information
Personal information including staff's home and mailing address, phone numbers and emergency contacts recorded for communication between university and staff where necessary or in case of any emergency. Please complete the information and keep it updated. All the information provided, of course, will be kept confidential
3) Payroll and Compensation
a. Personal Bank Accounts
New staff are required to add your new bank account either created in ABC or CITIC Bank into the HR System. On the following day such information will by synchronized to Expense Control System to activate your account in Expense Control System so that your can claim physical check-up fees or visa related fees.
Any information related if is changed should be updated timely into system as well. Meanwhile, it is much appreciated to send a notice of change to staffonestop@xjtlu.edu.cn for record track.

b. Allowance Request
Allowance (subject to employment contact) request is for staff to submit request individually and follow payroll or reimbursement process. On the basis of current system running regulation, staff can only submit online request once per month. If staff choose "payroll", allowance will be paid through payroll monthly as a fixed amount that normally cannot be modified. (Payroll makes payment on a monthly basis until you change it to "claim"). If you choose "claim", allowance will be paid through finance reimbursement process and valid invoices as well as supporting documents in hard copy shall be submitted to One-stop Staff Services Centre with Allowance Claim Statement. Successful payment of allowance claim is subject to reimbursement approval and valid invoices and supporting documents. Thus please make sure all invoice and supporting documents provided shall be in conformity with Finance reimbursement process and reimbursement.
Please be noted that system is open from the 1st to the 20th of each month for request submission and closed from 21st to the end of month for data processing.

4) Performance Management
Performance Management currently is used for annual Performance Development and Review (PDR) and promotion. You may experience this module at the time of PDR, normally from March to August. Please click here to view more introduction.

New Appointment
1) Vice President for the Centre of Academic Affairs
Professor Barry Godfrey has succeeded the Vice-President for Academic Affairs at XJTLU from August 2017. Professor Godfrey will sit on the Senior Management Team at XJTLU for the next three years and will be responsible for academic strategy, as well as all aspects of liaison with the University of Liverpool, including academic standards and quality assurance, academic strategy, and academic staff recruitment and development.
2) New Director of Human Resources
Ms. Susan Zhang, as the Director of Human Resources, joined in the university from 17th July 2017 and would lead the Human Resources services. Dr. Yimin Ding, Vice President in charge of the Centre for Administrative Affairs, sent the welcome letter through University Communication.
3) Professor and Dean of the School of Film and TV Arts
Adam McIlwaine has been appointed Professor and Dean of the School of Film and TV arts. After working in film and television as an editor and producer he has spent the last twenty years developing practical filmmaking programmes, most recently leading the award winning film school based at The Royal Conservatoire of Scotland.
4) Acting Head of Mathematical Sciences
Dr. Fei Ma will be taking over Acting Head of Mathematical Sciences from 1st September 2017. Dr. Ma currently are working for MS as Associate Professor and Head of Group.

Tax Identification Number for Creating New Bank Account
Please be kindly noted that, since China signed Multilateral Competent Authority Agreement and promised to implement Common Reporting Standard from 1st July 2015, non-Chinese tax residents (normally new foreign staff, including Hong Kong, Macau, Taiwan tax residents) are required to provide their tax identification number in their own countries or previously resident countries when creating new bank accounts, effective from 1st July.
In this condition, for example, UK citizens/tax residents need to provide their UTR or NINO, while US need to provide SSN, EIN, ITIN. All the information provided to banks shall be true, which, otherwise, will influence your request to create new bank accounts.
So far, we have not heard any staff met any difficulties related. It is suggested to follow banks' instruction accordingly and keep your bank account secure.
Allowance Settlement
The academic year 2016/2017 is approaching to the end, and we understand that you are planning to make payment arrangement of the remaining of your allowance. We are writing to hereby to remind you of information as follows:
1) If your commencement date is on/after 1st June 2017, your allowances entitled to from your start date to the 31st August will be allowed to carry over to AY 17/18.
2) If your commencement date is before 1st June 2017, all your requests of allowance payment either through "payroll" or "claim" shall be raised by yourself into HR System. Otherwise, any allowance remaining for AY 16/17 after 20th September will be paid off together with salary September, subject to income tax.
3) Allowance request module in HR system is open from 1st - 20th of each month. Please make your request arrangement accordingly. From 21st to the end of month, the system is closed for data processing.
Department Sharing with HR Delegates from Wenzhou Kean University
Wenzhou Kean University, located in Zhejiang Province, was restructuring its human resources office and paid a visit to XJTLU on 12th July.
Nine delegates from Human Resources Office of Wenzhou Kean University including Head of HR and Officers in recruitment, C&B, staff development, foreign affairs consulted Dr. Xiaojun Zhang, Deputy Director of ILEAD, and Nina Xu, Deputy Director of the Centre for Administrative Affairs, in terms of its current situation and targeted expectations on that morning.
On that afternoon, XJTLU HR representative shared the experience, practice and challenges in details with them in the way of group discussion, which enhanced mutual understanding and exchange for further respective development.
